Chitose Group considers that it is social responsibility to respect the privacy of all people in its business activities. Through its business activities, it may obtain personal information (including not only information about customers and business partners, but also information about research participants, event participants, job applicants, and shareholders, officers, and employees of each company in Chitose Group, collectively “Personal Information”). Personal Information provided is an extremely important asset in establishing a relationship of trust with Chitose Group, and strict management of it is essential for Chitose Group. Regarding its handling, Chitose Group will comply with the following policies based on respect for privacy:
Chitose Group* (the “Group”) that consists of CHITOSE BIO EVOLUTION PTE. LTD. and its subsidiaries and affiliated companies hereby establishes the following Privacy Policy (this “Policy”) regarding the handling of personal information about customers, business partners, shareholders, job applicants, officers, directors and employees, etc. (collectively the “Provider”) collected, stored, and used through the Group’s activities, and will handle the personal information appropriately in accordance with this Policy. The definition of the terms used herein shall conform to the Act on the Protection of Personal Information of Japan (the “Personal Information Protection Act”). In cases where there is any inconsistency between the laws and regulations of each country handling personal information and this Policy, the laws and regulations of that country shall prevail.

The Group will collect, store, and use the personal information within the scope of following purposes :
1. Various Types of Personal Information
1-(1) Personal Information Related to Individual Customers
(a) To provide products handled by the Group or services of the Group (collectively the “Group Products”) to customers;
(b) To deliver materials and catalogs related to the Group Products requested by customers themselves;
(c) To provide information to customers about the content, quality, safety, effectiveness, proper use, etc. of the Group Products;
(d) To propose plans regarding the Group Products to customers;
(e) To provide information (such as email newsletters related to the Group Products, seminars and events conducted by the Group, recruitment of collaborators for nutritional support, clinical trials, and other research, etc.) to customers themselves via direct mail or email, etc.;
(f) To introduce customers to business partners of the Group with the consent of the customers themselves;
(g) To survey customers’ usage status and satisfaction level of the Group Products;
(h) To respond to opinions and requests made by customers themselves regarding the Group or the Group Products;
(i) To provide and implement after-sales service, maintenance, etc. of the Group Products to customers themselves;
(j) To conduct marketing analysis on purchase history and usage history of the Group Products, and to use for advertising related to new products and services according to preferences;
(k) For research and development of new products, new businesses, and new services by the Group; and
(l) To provide the personal information and personal data to third parties with the prior consent of customers for the purpose of achieving the purposes of use provided in (a) to (k) above.
1-(2) Personal Information Related to Participants in Seminars, Events, etc.
(a) To provide participants with information necessary for the Group to conduct seminars and events;
(b) To deliver materials and catalogs related to the Group Products, seminars, and events conducted by the Group requested by participants themselves;
(c) To provide information (such as email newsletters related to the Group Products, seminars and events conducted by the Group, recruitment of collaborators for nutritional support, clinical trials, and other research, etc.) to participants themselves via direct mail, email, etc.;
(d) To introduce participants to business partners of the Group with the consent of the participants themselves;
(e) To survey participants’ usage status and satisfaction level of seminars and events conducted by the Group;
(f) To respond to opinions and requests made by participants themselves regarding seminars and events conducted by the Group;
(g) For research and development of new products, new businesses, and new services by the Group; and
(h) To provide the personal information and personal data to third parties with the prior consent of participants for the purpose of achieving the purposes of use provided in (a) to (g) above.
1-(3) Personal Information Related to Collaborators in Nutritional Support, Clinical Trials, and Other Research
(a) To conduct nutritional support, clinical trials, and other research, and to follow up with collaborators themselves;
(b) To provide information (such as email newsletters related to the Group Products, seminars and events conducted by the Group, recruitment of collaborators for nutritional support, clinical trials, and other research, etc.) to collaborators themselves via direct mail, email, etc.;
(c) For research and development of new products, new businesses, and new services by the Group; and
(d) To provide the personal information and personal data to third parties with the prior consent of collaborators for the purpose of achieving the purposes of use provided in (a) to (c) above.
1-(4) Personal Information Related to Business Partners, Alliance Partners, etc.
(a) To provide information about the Group to business partners, alliance partners, etc.;
(b) To provide information about the content, quality, safety, effectiveness, proper use, etc. of the Group Products to business partners, alliance partners, etc.;
(c) To provide information (such as email newsletters related to the Group Products, seminars and events conducted by the Group, recruitment of collaborators for nutritional support, clinical trials, and other research, etc.) to business partners, alliance partners, etc. via direct mail, email, etc.;
(d) For research and development of new products, new businesses, and new services by the Group; and
(e) To provide the personal information and personal data to third parties with the prior consent of business partners, alliance partners, etc. for the purpose of achieving the purposes of use provided in (a) to (d) above.
1-(5) Personal Information Related to Shareholders (Including Their Officers and Employees When Shareholders are Legal Entities)
(a) For the exercise of rights and performance of obligations based on the Companies Act of Japan;
(b) For the management of shareholders, such as creating records based on various laws and regulations;
(c) To provide various benefits from the Group to shareholders; and
(d) To provide the personal information and personal data to third parties with the prior consent of shareholders for the purpose of achieving the purposes of use provided in (a) to (c) above.
1-(6) Personal Information Related to Job Applicants
(a) For providing recruitment information of, conducting selection processes by, and confirming application history for each company in the Group;
(b) For corresponding with job applicants. and responding to inquiries, etc. from job applicants;
(c) To provide information about recruitment-related events and seminars operated by the Group to job applicants themselves; and
(d) To provide the personal information and personal data to third parties with the prior consent of job applicants for the purpose of achieving the purposes of use provided in (a) to (c) above.
1-(7) Personal Information Related to Officers and Employees, etc.
(a) For operations related to business communication, facility management, human resources and labor management, etc.;
(b) For operations related to wages, bonuses, welfare benefits, etc.;
(c) For operations related to safety and hygiene, health management, etc.;
(d) For operations based on the applicable laws and regulations such as employment insurance, social insurance, taxes and social security, etc.;
(e) For sales, public relations, and recruitment activities of the Group with the prior consent of officers and employees themselves; and
(f) To provide the personal information and personal data to third parties with the prior consent of officers and employees for the purpose of achieving the purposes of use provided in (a) to (e) above.
2. Personal-Related Information (Cookies, etc.)
Cookies are small pieces of information that web servers send to users’ browsers for the effective operation of the internet. This website may use cookies to customize the website according to users’ needs, or to improve the contents of website and services provided therein to make them easier to use. Users can refuse to receive cookies or display a warning when cookies are received by configuring users’ browser settings. However, in that case, there may be restrictions such as not being able to use the function of recording user information such as addresses. If users want to delete cookies or instruct the users’ web browser to delete or refuse cookies, please refer to the help page of users’ web browser.
2-(1) Cookies and Related/Similar Information
(a) To understand and analyze usage status by users of various websites operated by the Group (the “Group Sites”);
(b) To retain content browsing history, etc. of users on the Group Sites; and
(c) To conduct the followings through analysis of users’ browsing history, etc. on the Group Sites:
i. Improving the Group Sites and enhancing their convenience;
ii. Displaying contents according to users’ interests and concerns (including displaying contents more suitable for users by combining usage status of other websites and services, etc. provided by the Group) and providing information about the Group Products;
iii. Distributing advertisements related to the Group Products according to users’ interests and concerns outside the Group Sites and measuring advertising effectiveness.
(1) Basic Handling Principles
The Group will not provide the collected personal information to third parties without obtaining the prior consent of the Provider, except in the following cases:
i. When based on the applicable laws and regulations;
ii. When necessary for the protection of life, body, or property of an individual, and difficult to obtain the consent of the Provider;
iii. When especially necessary for improving public health or promoting the sound growth of children, and difficult to obtain the consent of the Provider;
iv. When necessary for cooperating with a state organ, a local government, or an individual or a business operator entrusted by either of the former two in executing the affairs prescribed by the applicable laws and regulations, and obtaining the consent of the Provider is likely to impede the execution of affairs concerned; or
v. Any other cases permitted by the applicable laws and regulations.
(2) Cases Where the Group Provides Personal Information to Third Parties (Within Same Country)
Notwithstanding the above (1), please consent in advance that the Group may provide the personal information received from the Provider to the third parties in the following cases:
i. When all or part of the handling of Provider’s personal information is outsourced within the scope necessary to achieve the purpose stated in section A “Purpose of Using Personal Information”. In such cases, we will examine whether the contractor meets the Group’s contractor selection standards and ensure that the personal information is properly managed when executing the agreement; or
ii. When the Provider’s personal information is provided along with business succession due to merger, company split, business transfer, or other reasons.
(3) Cases Where the Group Provides Personal Information to Third Parties (Cross-Border Transfer)
The Group will not disclose or provide personal information to third parties in foreign countries without obtaining the prior consent of the Provider, except when permitted by the applicable laws and regulations (“foreign countries” herein refer to foreign countries from the perspective of the country where the legal entity belonging to the Group is located, hereinafter the same). When obtaining the Provider’s consent, information such as the name of the foreign country, the protection system on the personal information in such foreign country, measures taken by the third party to protect the personal information, and other reference information will be provided.
The Group takes necessary measures to ensure the continuous implementation of measures equivalent to those that should be taken by the business operators handing personal information regarding the handling of personal data, when providing personal data to entities that have established systems satisfying the standards provided in the Rules of the Personal Information Protection Commission of Japan.
The Provider can request the Group to provide information about such necessary measures.
The personal information collected through the Group’s activities will be jointly used within the Group as follows. The Group is located across multiple countries, but all companies in the Group have established systems satisfying the standards provided in the Rules of the Personal Information Protection Commission of Japan.

The Group takes the following measures to safely manage the Provider’s personal information:
(1) Security Management Measures for Personal Information Received from Provider
The Group takes necessary and appropriate measures to prevent leakage, loss, or damage of the personal information handled by it and for other security management of the personal information. For information about the security management measures taken by the Group, please contact the “Inquiry Contact” in section I.
(2) Understanding of External Environments
The Group stores the personal information received from the Provider not only within the countries where the Group’s sites are located (Japan, Singapore, Malaysia, Brunei Darussalam, Thailand) but also on cloud services provided by operators located in the United States (cloud service providers do not handle the Provider’s personal information). Therefore, the Group strives to understand the legal systems related to the protection of personal information in each country through materials published by the Personal Information Protection Commission of Japan (https://www.ppc.go.jp/enforcement/cooperation/) and to implement security management measures based on this understanding.
The Group has also established a system to answer inquiries from the Provider on these matters without delay.
Cross-border transfer refers to placing the personal information in a state where a third party across borders can use it. Even if it is not physically provided, it includes a state where the personal information can be used through networks, etc.
(1) The Group may transfer the Provider’s personal information across borders after regularly confirming the implementation status of security management measures at the transfer destination.
To the Group’s main overseas sites: the personal information about the Provider, which is necessary for management, regulatory compliance, and internal management.

(2) When transferring to a third party (including each company in the Group) based on the consent of the Provider
In addition to the above, the Provider’s personal information may be transferred across borders after obtaining the consent of such Provider in the provision of individual services. In such cases, specific information about the cross-border transfer (name of the transfer destination, country name, system for protection of the personal information in that country, overview of specific security management measures) will be individually disclosed to such Provider.
The Group confirms that the Provider has the right to request disclosure, correction, suspension of use, deletion, etc. of its own personal information, and when such requests are made by the Provider itself, the Group will respond promptly in accordance with the procedures established by it. The Provider who requests these measures should contact the “Inquiry Contact” in section I.
Please note that the Group may refuse requests if they interfere with the Group’s operations or involve the disclosure of information other than the Provider’s own personal information.
The Group may change this Policy. In the event of a change to this Policy, the Group will post it on the Group’s website, so please check the updated content carefully.
This Policy is made in English and translated into Japanese. The English text is the original and the Japanese text is for reference purposes. If there is any conflict or inconsistency between these two texts, the English text shall prevail.
